1. Introduction
The Ghana Law Society (“GLS”, “we”, “us”, or “our”) is committed to protecting the privacy of our members and users. This Privacy Policy explains how we collect, use, disclose, and safeguard your personal information when you use the Ghana Law Society mobile application (“the App”).
By using the App, you agree to the collection and use of information in accordance with this policy.

3. Information We Collect
3.1 Information You Provide Directly
- Personal details: Full name, title, date of birth, gender
- Contact information: Email address, phone number, residential address, city, region
- Professional information: Year of call to the bar, chamber name, chamber address, bar number, practising licence number
- Student information: Student ID, law faculty, enrolment dates, law school
- Account credentials: Email address and password (encrypted)
- Profile photo: Uploaded at your discretion
- Documents: Certificates and supporting documents you upload
3.2 Payment Information
When you make payments through the App, we collect:
- Mobile money phone number
- Payment type and amount
- Transaction reference numbers
We do not store your full mobile money PIN or wallet credentials. Payments are processed securely through Hubtel, a licensed payment service provider in Ghana.
3.3 Information Collected Automatically
- Device information: Device type, operating system, app version
- Usage data: Features accessed, screens visited, timestamps
- Log data: Error logs, crash reports
4. How We Use Your Information
We use the information we collect to:
- Provide membership services: Manage your GLS membership, issue practising licences and certificates
- Process payments: Facilitate dues payments, registration fees, and certificate fees via Hubtel
- Send communications: Notify you of important membership updates, event announcements, and payment confirmations via SMS (mNotify) and in-app notifications
- Verify identity: Confirm your status as a registered lawyer or law student in Ghana
- Improve the App: Analyse usage patterns to enhance features and fix bugs
- Comply with legal obligations: Maintain records as required by Ghanaian law and the Legal Profession Act
5. How We Share Your Information
We do not sell your personal information to third parties. We may share your information with:
- Firebase (Google LLC): Cloud infrastructure for authentication, database, and file storage. Data is processed under Google’s privacy standards.
- Hubtel: Payment processing. Hubtel receives your mobile number and transaction amount to facilitate payments.
- mNotify: SMS notification delivery for payment confirmations and alerts.
- GLS Administrators: Authorised GLS staff who manage membership records and approvals.
- Legal authorities: When required by Ghanaian law, court order, or governmental authority.
6. Data Retention
We retain your personal data for as long as your membership is active. If you delete your account:
- Your personal data is removed from active systems within 30 days
- Payment transaction records may be retained for 7 years for financial compliance purposes
- Anonymised statistical data may be retained indefinitely
7. Data Security
We implement appropriate technical and organisational measures to protect your data including:
- Firebase Security Rules restricting data access by authenticated users only
- Encrypted data transmission (HTTPS/TLS)
- Passwords are hashed and never stored in plain text
- Payment credentials are handled entirely by Hubtel and never stored on GLS servers
8. Your Rights
You have the right to:
- Access your personal data held by GLS
- Correct inaccurate or incomplete information via your profile
- Delete your account and associated data through the App (Profile → Settings → Delete Account)
- Object to certain processing of your data
- Data portability — request a copy of your data by contacting us

9. Children’s Privacy
The App is intended for adults (18 years and older) who are qualified lawyers or enrolled law students. We do not knowingly collect data from children under 18. If you believe a minor has provided us with personal data, contact us immediately.
10. Third-Party Links
The App may contain links to external websites (e.g., the GLS website). We are not responsible for the privacy practices of those sites and encourage you to review their privacy policies.
11. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of significant changes through the App or via email. Continued use of the App after changes constitutes your acceptance of the updated policy.
